Privacy Policy
How we collect, use, share, and protect your information.

1. Overview
Snowbird Services LLC ("Snowbird," "we," "us," or "our") is a consumer data furnisher under the Fair Credit Reporting Act ("FCRA") and Regulation V. We report your on-time rental payment history to nationwide consumer reporting agencies ("Credit Bureaus"), including Experian RentBureau and TransUnion, so that your positive rental payments may appear on your consumer credit file.
This Privacy Policy explains what personal information we collect about you, how we use it, who we share it with, how long we keep it, how we protect it, and the choices and rights you have.
This Policy applies to residents of properties served by Snowbird and to visitors of our websites, including snowbird-services.com and enroll.snowbird-services.com. It does not apply to your Property Manager's own privacy practices or to the Credit Bureaus' use of data they receive from us.
2. Information We Collect
We collect information directly from you, from your Property Manager, from the property management software used by your Property Manager, automatically when you interact with our enrollment website, and from Credit Bureaus in connection with disputes.
2.1 Information You Provide Directly
When you enroll, you provide (or confirm) information including:
- Your full legal name
- Your rental unit address and mailing address (if different)
- Your email address and phone number
- Your date of birth (used for bureau matching)
- Your electronic consent to our Terms of Service and this Policy
You may also provide additional information when you contact us with questions, disputes, or cancellation requests (for example, documents supporting a dispute).
2.2 Information From Your Property Manager
Your Property Manager provides your rental payment and lease information to us, including:
- Lease dates (start, end, move-in, move-out)
- Monthly rent and deposit amounts
- Payment history (amount and date of each payment)
- Property and unit identifiers
- Account status (current, past-due, closed, etc. — used only to determine eligibility; negative statuses are not furnished to bureaus)
2.3 Information From Property Management Software
We retrieve data from the property management software used by your Property Manager (for example, AppFolio) through authorized API access. This may include the same categories listed in Section 2.2.
2.4 Information We Collect Automatically
When you use the enrollment website, we automatically collect:
- Your IP address
- Your browser type and user agent
- The date and time of your enrollment or other interactions
- The URL path and referrer
- The consent text version that was displayed to you
- The unique enrollment token delivered to you
We use this information to confirm your consent, maintain an audit trail required by law, and protect against fraud. We do not use cookies for advertising or third-party tracking. We use only the cookies or local storage necessary to operate the enrollment form.
2.5 Information From Credit Bureaus
If you dispute information we have furnished, a Credit Bureau may forward the dispute to us under FCRA § 611 and § 623. We receive the dispute notice and any supporting information you or the Bureau provide.
2.6 Information We Do Not Collect
We do not collect:
- Your Social Security number (Experian accepts SSN or date of birth; we use date of birth);
- Your bank or card numbers (we do not process payments directly; your Property Manager handles billing);
- Your health information;
- Precise geolocation;
- Information about minors under 18.
3. How We Use Your Information
We use your information only for the purposes described below, all of which relate to providing the rental-reporting service or meeting legal obligations.

We do not use your information to:
- Sell or rent it to marketers;
- Build advertising profiles;
- Make automated decisions with legal or similarly significant effects (your credit score is determined by the Bureau's models, not by us);
- Train third-party artificial intelligence models.
4. Who We Share Your Information With
We share the minimum information necessary with the following categories of recipients:
4.1 Credit Bureaus
We furnish your name, address, date of birth, lease information, and positive payment history to Experian RentBureau, TransUnion, and any additional nationwide or specialty Credit Bureaus we later contract with. Each Bureau is bound by its own data-handling obligations under the FCRA.
4.2 Your Property Manager
Your Property Manager is the source of your rental payment data. We communicate with your Property Manager regarding your enrollment status (so the Property Manager can add or remove the $8.95/month line item), disputes, and service changes.
4.3 Service Providers ("Processors")
We use vetted service providers to operate the Service:
- Metro 2 processing software (for example, TSB Software) — formats and transmits compliant data files to the Bureaus;
- Cloud hosting and edge compute (for example, Cloudflare) — hosts the enrollment website and stores the consent audit trail;
- Email delivery providers — send service-related communications;
- Secure file transfer infrastructure — transmits encrypted data files to each Bureau.
These providers are contractually bound to use your information only to perform services for Snowbird and to protect it with appropriate safeguards.
4.4 Regulators and Law Enforcement
We disclose information when legally required — for example, in response to a valid subpoena, court order, or regulatory examination — and when necessary to protect rights, property, or safety.
4.5 Business Transfers
If Snowbird is involved in a merger, acquisition, restructuring, or sale of assets, your information may be transferred as part of that transaction. The acquirer will be bound by this Policy or one materially similar.
4.6 No Sale or Targeted Advertising
We do not sell your personal information, and we do not share it for cross-context behavioral advertising as those terms are defined under the California Consumer Privacy Act, the Texas Data Privacy and Security Act, and similar state laws.
5. Your Rights and Choices
You have the following rights regardless of where you live. Additional state-specific rights are listed in Section 9.
5.1 Right to Cancel
You may cancel the Service at any time by emailing info@snowbird-services.com or by notifying your Property Manager's leasing office. Cancellation stops future reporting and fee charges.
5.2 Right to Dispute
You may dispute the accuracy of any information we have furnished to a Credit Bureau, either directly with us or through the Bureau. See the Terms of Service § 7.2 for details. We will investigate and respond in accordance with FCRA § 623.
5.3 Right to Access Your Consent Record
You may request a copy of your consent record — including the exact consent text version, date, time, IP address, and user agent captured at enrollment — by emailing info@snowbird-services.com.
5.4 Right to Correct
If any information we have about you is incorrect, notify us and we will correct it. Corrections that affect previously furnished data will be submitted to the Bureaus as a furnishing update.
5.5 Right to Opt Out of Reporting
Cancelling the Service (Section 5.1) stops all future furnishing. Previously furnished data remains on your credit file subject to each Bureau's standard retention practices. Snowbird cannot unilaterally remove accurate, previously furnished data from your credit file.
5.6 Right to Withdraw Electronic-Records Consent
You may withdraw your consent to electronic records at any time by emailing info@snowbird-services.com. Withdrawal may terminate the Service, because we cannot operate it without electronic communications.
5.7 How to Exercise Your Rights
Email info@snowbird-services.com with your name, the email address you used at enrollment, and a description of your request. We may ask for reasonable verification before acting. We will respond within 30 days (or the timeframe required by your state's law, whichever is shorter).
6. Data Security
We take reasonable administrative, technical, and physical safeguards to protect your information, including:
- Encryption in transit — all data flowing between you, us, and the Credit Bureaus is encrypted using TLS or equivalent;
- Encryption of file transfers — Metro 2 data files are PGP-encrypted before transmission to the Bureaus;
- Access controls — role-based least-privilege access, multi-factor authentication on all production systems;
- Audit logging — every enrollment, dispute, and data transmission is logged;
- Vendor due diligence — service providers are reviewed for adequate security;
- Incident response — documented procedures for detecting, containing, and notifying affected consumers in the event of a data incident, consistent with applicable state breach-notification laws.
No security program is perfect. If you suspect unauthorized access to your information, contact us immediately at info@snowbird-services.com.
7. Data Retention
We retain your information for as long as necessary to:
- Provide the Service to you;
- Meet our FCRA furnisher obligations, including responding to disputes that may arise after cancellation;
- Comply with legal, tax, and regulatory requirements;
- Resolve disputes and enforce our agreements.

When retention obligations end, we delete or de-identify the information.
8. Children's Privacy
The Service is not directed to minors under 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact info@snowbird-services.com and we will delete it.
9. State-Specific Rights
9.1 Texas Residents — Texas Data Privacy and Security Act (TDPSA)
If you are a Texas resident, you have the right to:
- Confirm whether we are processing your personal data and to access that data;
- Correct inaccuracies;
- Delete personal data (subject to our FCRA retention obligations, which may require us to keep furnished data to defend against disputes);
- Obtain a portable copy of your personal data that you provided to us;
- Opt out of (a) targeted advertising, (b) sale of personal data, or (c) profiling in furtherance of decisions producing legal or similarly significant effects. We do none of these, so there is nothing to opt out of.
We do not process "sensitive data" as defined by TDPSA beyond what is strictly necessary to furnish your tradeline under the FCRA, for which you have already given express consent.
To exercise a TDPSA right, email info@snowbird-services.com. If we deny your request, you may appeal by replying to our denial; if the appeal is denied, you may complain to the Texas Attorney General at texasattorneygeneral.gov.
9.2 California Residents — CCPA / CPRA
If you are a California resident, you have the rights to know, access, correct, delete, and limit the use of sensitive personal information, and the right to non-discrimination for exercising those rights.
Personal information collected in the preceding 12 months: identifiers (name, address, email, phone, IP), date of birth, lease and payment information, internet/network activity from enrollment, and inferences as described in Section 2.
Sources, purposes, and recipients: as described in Sections 2, 3, and 4.
We do not sell or share personal information and did not in the preceding 12 months.
To exercise a CCPA right, email info@snowbird-services.com. You may also designate an authorized agent; we will require reasonable proof of authorization. We do not discriminate against consumers for exercising their rights.
9.3 Other States
Residents of other states with comprehensive privacy laws (including Virginia, Colorado, Connecticut, Utah, and others as those laws take effect) have substantially similar rights. Contact info@snowbird-services.com to exercise them.
10. International Users
The Service is offered only in the United States. We do not knowingly offer the Service to residents outside the U.S. Our systems are located in the U.S.; if you access the Service from outside the U.S., your information will be processed in the U.S.
11. Third-Party Websites
Our website may link to third-party sites (for example, the Credit Bureaus). This Policy does not cover those sites. Review their privacy policies before sharing information.
12. Changes to This Policy
We may update this Policy from time to time. If changes are material, we will notify you at least 30 days in advance by email to the address on file and by posting the updated Policy at https://snowbird-services.com/privacy with a new "Last Updated" date. Continued use of the Service after the effective date constitutes acceptance.
